Step 1: Create a new memo

Open PlotonIQ on your phone. Tap + → New Memo. Three snippet types: Text, Audio, Photo. For site work, start with Audio.

Step 2: Record audio

Tap the microphone button and speak freely:

"Smith's Bakery, 12 High Street. Storefront with 4 windows, roughly 150 by 110cm each. Frosted film, client wants 3M Crystal. Entrance door needs opening hours, white vinyl. Installation Thursday, shop closed till 11am."

Stop recording. 30 seconds. You can add multiple audio snippets per memo.

Step 3: Attach photos

Tap the camera. Take photos: full facade, window detail, door, any problems (roller shutters, cables). Each photo becomes a geo-tagged snippet in the memo.

Tip: take photos before dictating — you'll have visual reference while speaking.

Step 4: AI transcribes

Tap "Transcribe". Whisper processes all audio snippets in 2-5 seconds per minute. The AI automatically recognises: customer name and address, materials and brands, dimensions, and scheduling info.

Step 5: Generate positions

Tap "AI Positions". The AI extracts individual items and creates quote positions with pricing and justification per line.

Step 6: Create and send quote

Tap "Create Quote". Positions become a formatted quote with company logo, line items, VAT, terms and AI price justification. Generate PDF, send by email or via customer portal with digital approval.

Tips

Full material names: "3M Crystal frosted film" not "frost." AI recognises brands better than abbreviations.

Include units: "150 centimetres" not "one-fifty."

One memo per job: Keeps assignment clean and search easy.

Dictate problems: "Caution, roller shutter won't go up fully" — notes like this get lost on paper, in a memo they're preserved.
